Job Description

The School of Life Sciences seeks a high performing, positive, and proactive service-oriented individual with excellent attention to detail to be the Program Coordinator that will work with our diverse group of graduate students. Under general supervision, this individual will coordinate activities and functions necessary to successfully steward programs in the Graduate Office of the School of Life Sciences. An ideal candidate will assist with implementation of our various programs goal and objectives and think creatively to improve processes and functions within the school's graduate activities. A strong candidate will be comfortable and adept at providing guidance and program-related administrative support to the faculty and its leadership.  This position will allow for opportunities for advancement and professional growth.

Essential Duties

  • Serve as back up on incoming office communications (phones, foot traffic into suite, SalesForce, live chat)
  • Act as main point of contact for all prospective students interested in our diverse graduate program and advise on the application process and program requirements
  • Work with our events team coordinating logistics for the graduate programs office (orientation, graduate recruitment weekend, interviews, graduation, meetings) 
  • Review and maintain student records using internal and external systems (iPOS, Graduate Application Review System, Microsoft Office, Peoplesoft, Google sheets, Canvas, etc.), provide data as requested
  • Work closely with graduate and undergraduate faculty/staff/administration on managing student records and communications
  • Attend various recruitment events the office represents and prepare any items needed for event ahead of time
  • Gathers information and prepares administrative reports and documents for management and grad associate director
  • Provide guidance and suggestions on current processes and provide opportunities for improvement and efficiencies where appropriate. 
  • Perform additional duties as assigned

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%). Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%). 
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals; 
  • This position receives regular review of objectives by department administrator.
